Who this is for: Builders, subcontractors, and estimators who want to track the status of proposals they've sent to clients.

What Proposals Sent is for

Once you've sent a proposal through Core Estimator, Proposals Sent gives you a record of every email that went out — who it was sent to, when, what the subject line was, and whether the client has opened or clicked through it. It's your audit trail for all proposal communications.

If you're following up with a client, a quick check here tells you whether they've actually seen the proposal before you pick up the phone. If they haven't opened it, you know why they haven't responded. If they've opened it multiple times, you know they're looking at it seriously.

Note: Proposals Sent is read-only. You can view and track sent proposals here but can't resend, edit, or delete them from this module. To send a new proposal or a revision, go back to Produce Proposal within the estimate.

Things worth knowing upfront

  • Only proposals sent through Core Estimator's Review & Send function appear here. Proposals shared another way (e.g. a PDF emailed manually) won't be tracked.

  • The Stats column shows Opens and Clicks counts for each sent proposal. An open is recorded when the client loads the web proposal link or email. A click is recorded when they interact with a link inside it.

  • You can view Proposals Sent from two places: the top-level list (all sent proposals across all jobs) or from within an individual estimate (filtered to just that estimate's sent proposals).

How to get there

There are two ways to reach Proposals Sent depending on what you want to see.

All sent proposals (across all jobs)

Projects (top header) → Proposals Sent (left menu list)

  1. From the black header at the top of the screen, click Projects.

  2. In the left menu list, click Proposals Sent.

Sent proposals for a specific estimate

Projects (top header) → Projects (left menu list) → [open a project] → Estimates tab → [open an estimate] → Proposals Sent (estimate left nav)

  1. Open the project, go to the Estimates tab, and open the relevant estimate.

  2. In the estimate's left nav, click Proposals Sent.

This view shows only the proposals sent from that estimate, which is useful when you're following up on a specific job.

What you'll see

The Proposals Sent table shows every sent proposal as a row. The columns are:

Click any row to open the sent proposal detail.

Step-by-step: checking a sent proposal

  1. Find the proposal in the list. Check the Stats column to see open and click counts at a glance.

  2. Click the row to open the detail panel on the right side of the screen.

Understanding delivery status

Status

The email reached the client's inbox

Opened

The client opened the email or loaded the web proposal link

Clicked

The client clicked a link inside the proposal email

Note: Delivery tracking depends on the recipient's email client. Some clients block open tracking by default, so a "Delivered" status doesn't always mean they haven't read it — it may just mean their email client didn't register the open.

Worked example: checking whether Sarah has seen the proposal

A builder sent the Brennan Street Renovation proposal to Sarah Brennan three days ago and hasn't heard back. They go to Proposals Sent and scan the list. They find the row for "Brennan Street Renovation — Proposal 1" and see the Stats column shows 1 open.

They click the row. The detail panel opens. Under Recipients, Sarah's email shows a status of Opened. The Activity Timeline shows she opened it the day after it was sent.

She's seen it. The builder knows they can follow up with confidence — the proposal is in front of her and she's looked at it.

Tips

  • Check Stats before following up. A zero in the Stats column is useful information — if the client says they haven't received anything, you can confirm the sent date and resend from Produce Proposal.

  • Use the estimate-level view when you're working a specific job. Rather than scrolling through all sent proposals, open the estimate and click Proposals Sent there. You'll only see the history for that job.

  • Use View Proposal to see exactly what the client sees. Before a follow-up call, open the proposal link from the detail panel to refresh your memory on exactly what you sent and what figures are in front of them.

A proposal I sent isn't showing in the list

It may have been sent from a different estimate, or sent outside of Core Estimator

Check the estimate-level Proposals Sent view within the relevant estimate, or check whether the proposal was sent manually rather than through Review & Send

Stats shows 0 opens but the client says they received it

The client's email client may be blocking open tracking

Ask them to confirm receipt directly — a zero doesn't always mean they haven't seen it

I need to resend a proposal

Proposals Sent is read-only — you can't resend from here

Go back to the estimate, open Produce Proposal, open the proposal, and use Review & Send again

The client says the web link isn't working

The proposal link may have been shared incorrectly, or the proposal has been modified

Open the sent proposal detail, click View Proposal to confirm the link works, and resend if needed
